The Manager, Office Administration is responsible for overseeing and managing the daily administrative operations of the office to ensure efficiency and effectiveness. This role serves as a central point of coordination for office functions, provides high-level administrative support to the leadership team, and ensures compliance with company policies and procedures. The Office Manager plays a critical role in fostering a professional and productive work environment.

 

Key Responsibilities:

 

Administrative Operations Management

  • Oversee daily administrative functions, ensuring the office operates efficiently and smoothly.
  • Develop and maintain office policies, procedures, and workflows to enhance operational efficiency.
  • Manage vendor relationships, including office supply procurement, service agreements, and facility maintenance contracts.
  • Coordinate and manage office equipment and technology to ensure functionality and accessibility.

 

Leadership Support

  • Provide high-level administrative support to the leadership team, including scheduling meetings, preparing reports, and managing correspondence.
  • Serve as a liaison between leadership and staff, ensuring clear communication and timely resolution of administrative issues.

 

Financial Administration

  • Assist with budgeting, tracking office expenses, and ensuring adherence to financial policies.
  • Process invoices, manage expense reports, and coordinate with the accounting department as needed.

 

Human Resources Support

  • Facilitate orientation and complete all onboarding activities such as verifying I9 documentation and ensuring onboarding paperwork is complete for new hires.
  • Support HR functions such as onboarding, offboarding, and maintaining employee records.
  • Coordinate staff training sessions, team-building activities, and other employee engagement initiatives.
  • Ensure compliance with workplace safety regulations and company HR policies.

 

Office Organization and Efficiency

  • Maintain a clean, organized, and professional office environment.
  • Optimize space utilization and implement solutions for efficient storage and resource management.

 

Event Coordination and Special Projects

  • Plan and execute company events, meetings, and training sessions, including logistics, catering, and communication.
  • Assist in the development and execution of special projects assigned by leadership.

Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field preferred.
  • Minimum of 5 years of experience in Office Management or a related administrative role.
  • Strong organizational and multitasking skills with the ability to prioritize and meet deadlines in a fast-paced environment.
  • Excellent communication and interpersonal abilities with a focus on fostering collaboration and professionalism.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management tools.
  • Demonstrated problem-solving skills and a results-oriented mindset.
  • Experience in financial administration, including budget tracking and expense management.
  • Familiarity with HR practices, workplace safety regulations, and compliance requirements.
  • Must be able to read, write, and speak English.
